Experience Institute is a learning studio where leading companies bring their teams to grow. We partner with our clients to figure out the underlying problem that is causing their pain points, and co-create the experiences that will help them solve that problem. These experiences range from 2-hour virtual strategy sessions, to 1-day in-person hackathons, to months-long leadership development programs.

We’re now looking to backfill our Operations Coordinator role, a key part of how our organization functions from day to day.

The Role

The Operations Coordinator at Experience Institute is an organizer, producer, and enabler for our small but mighty team. This role conducts program scheduling and logistics, and provides operational support to our sales & marketing functions as well. You will maintain and optimize existing systems, using our tech stack of Notion, Asana, Google Drive, Slack, Canva, and Claude. This is an ops generalist role, focused on enabling smooth operations across the team. We’re not expecting you to walk in with the ability to excel at every part of this job from the jump. If you are detail-oriented, independent and driven to optimize, you can succeed in this role. This is a fully remote, 20-hour/week part time role. While some of the work can happen on a flexible schedule, we are looking for someone who can work at least two hours daily (M-F), within 9 am - 6 pm CT.

Program Operations: you will onboard to these tasks right away

  • Manage program scheduling, including communicating directly with clients
  • Stand up each client-facing project in Notion, Slack & Asana, and perform pre- and post- programming logistical tasks
  • Create & maintain all records & reporting for programs from start to finish, including invoice schedules, attendance, feedback, and impact reports
  • Support AI-assisted workflows that expedite program ops
  • Join prototype test sessions to give feedback on workshops in development
  • Contribute to special projects that support program operations

Office Management & Admin Support: you will onboard to these tasks after ~6 weeks

  • Oversee maintenance of current systems, including keeping subscriptions up to date, streamlining where needed
  • Meetings: Weekly huddle, biweekly 1:1s with Director of Programs & others as needed
  • Keep staff sexual harassment and other trainings up to date
  • Machine and software management when needed
  • Assist in core team scheduling & travel bookings
  • Contribute to special projects, including trips to US post office for client mailings

Sales & Marketing Operations: you will onboard to these tasks after ~3 months

  • Produce quarterly open workshops
  • Produce biweekly newsletter
  • Support AI-assisted workflows that expedite sales & marketing ops
  • Contribute to special projects that support sales, marketing & client relations

Qualifications

  • 4+ years of experience in an operations, project management, or executive/administrative support role
  • Experience managing scheduling, logistics, or project tracking across multiple stakeholders
  • Experience interfacing directly with corporate clients (scheduling, status updates, logistics communication)
  • Mastery with at least one of our main platforms (Asana or Notion) and willingness to learn our specific stack
  • Experience setting up workflow automations (e.g. Zapier)
  • Openness to using generative AI to optimize operations
  • Experience with basic design/content tools or willingness to learn (Canva or similar)


Starting Compensation: $32-$40/hr, depending on experience

Timeline: We’ll review applications on a rolling basis, with a priority deadline of September 8, 2026. We are looking for someone to start as soon as possible.
